Webinar Summary
In today’s webinar, I will walk through the refill assistant and prescription ordering and bookings. This includes both mobile app and website functionalities. Basically, it’s an overview of all of our products. I’ll also be touching on school vaccinations, given their curreny relevance.
Our company, Refill Assistant, works exclusively with pharmacies in Ireland and the United States. Our product focuses on improving a pharmacy’s script ordering communications and appointment workflow. Our tagline is “Less calls, more care.” Everything we do aims to improve workflow and reduce the volume of phone calls coming into the pharmacy. We build specific services around this need in the pharmacy sector.
We are an affiliate partner of the IPU, and we’ve partnered with them on various projects, including the booking software I’ll discuss shortly. Our goal of “less calls, more care” is achieved by augmenting the phone communication process. Customers can either walk into the pharmacy or call, which are the two main channels. We enhance these by adding a website and a mobile app that allows customers to communicate with pharmacies for prescription orders or appointments.
For example, a pharmacy’s domain (e.g., yourpharmacyname.ie) will point to a website we create, which includes services, contact details, and is indexed for Google to build an online reputation. The website covers prescription ordering, bookings, video consultations, and is accessible for people with reduced sight, dyslexia, or vertigo. It also complies with the new EU directive on web accessibility.
The mobile app is available for free on Google Play and the Apple App Store. It supports quick prescription orders, repeat reminders, two-way messaging, appointments, and bookings, all branded for your pharmacy. A patient uses the app or website to select a service, place an order, or book an appointment, and our system responds accordingly with confirmations or reminders.
Prescription ordering through the mobile app includes automated repeat reminders and two-way messaging. For example, during COVID, we simplified the prescription ordering process with drop-down menus that removed the complexity of selecting medications, allowing patients to choose options like “same as last month” or “all items on the script.”
The booking system was designed in collaboration with IPU during COVID-19 to create an informed consent workflow. Patients can book services, complete medical intake forms, and provide consent for services like vaccinations. The booking system also supports waitlists, and everything is managed through a secure pharmacy portal that uses two-factor authentication.
All communication with patients, whether for prescriptions or appointments, is encrypted and managed securely through this portal. For appointments, the system can handle everything from vaccine bookings to blood pressure clinics, and it works both online and through the mobile app.
We’ve also expanded the system to support offsite operations like school and corporate vaccinations, with paperless consent forms becoming increasingly popular. School vaccination clinics have seen a significant uptick in use of this system.
To manage patient interactions, pharmacies receive notifications for new prescription orders or appointments, and can track the status of these through the portal. The system supports various filters and batch processes to simplify operations.
For school vaccination clinics, parents can register their children through the system, and pharmacies can coordinate appointments directly with schools. The system allows pharmacies to efficiently manage patient consent and provide reminders through email, SMS or push messages (mobile app).
